Controller / Operator: XetaBytes (“XetaBytes”, “we”, “us”, or “our”) — owner and operator of StallonRent.com (the “Platform”).

This Refund & Cancellation Policy (“Policy”) governs refund and cancellation rights, procedures, and liabilities for bookings and listings made through StallonRent. By using the Platform you agree to this Policy and acknowledge that XetaBytes acts solely as a marketplace facilitator and not as an organiser, supplier, agent, or insurer for any event, service, or booking listed on the Platform.


1. Key Principles — Platform Intermediary; Limited Liability

1.1. Marketplace Role. StallonRent is a digital marketplace that connects Exhibitors with Event Organisers. XetaBytes only facilitates bookings, payments, and communications between Users and Organisers. We are not a party to the contract between an Exhibitor and an Organiser.

1.2. No Guarantee. XetaBytes does not guarantee, warrant or assume responsibility for: the occurrence, quality, attendance, safety, facilities, legality, or commercial success of any Event; the truth, accuracy or completeness of any listing; or the performance or conduct of any Organiser or Exhibitor.

1.3. Primary Liability. All questions about refunds, cancellations, rescheduling, compensation, or redress arising out of an Event must be addressed directly to the Organiser who listed the Event. XetaBytes bears no financial or other obligation to provide refunds or compensation on behalf of Organisers, except as expressly provided in this Policy or as required by applicable law.


2. Refunds — General Rule

2.1. No General Refund Obligation by XetaBytes. Except where explicitly stated otherwise in a specific Event listing or where required by applicable law, XetaBytes will not refund exhibition booking amounts or reimbursements paid to Organisers. Exhibitor refunds, if any, are governed solely by the Organiser’s cancellation and refund policy published on the Event listing.

2.2. Service Fees Non-Refundable. Platform service fees, convenience charges, processing fees, or any amounts retained by XetaBytes for providing the Platform (“Service Fees”) are non-refundable under all circumstances, including but not limited to event cancellation, organiser default, exhibitor no-shows, change of mind, or disputes between Users.

2.3. Third-Party Charges. Any fees charged by payment gateways, banks, or third-party processors are non-refundable by XetaBytes. Refunds, where provided, may be subject to deductions for transaction fees charged by third parties.


3. Cancellation Policies — Organiser & Exhibitor

3.1. Organiser Cancellations or Postponements.

  • If an Organiser cancels an Event, the Organiser is responsible for any refunds to Exhibitors in accordance with the Organiser’s cancellation policy stated on the Event listing.
  • If the Organiser postpones an Event, Exhibitors’ options (refund, rebooking, credit) are determined by the Organiser’s published policy. XetaBytes may, at its sole discretion and as a courtesy, facilitate communication but will not assume financial responsibility.
  • If an Organiser fails to process refunds as committed, Exhibitors may pursue remedies directly against the Organiser or via their payment provider (e.g., chargeback), but XetaBytes is not liable for any such failure.

3.2. Exhibitor Cancellations.

  • Exhibitor cancellations and any entitlement to a refund are governed solely by the Organiser’s cancellation policy available on the Event listing at the time of booking.
  • Where the Organiser’s policy allows partial or full refunds to Exhibitors, such refunds will be processed by the Organiser or through the payment processor as applicable. XetaBytes is not required to process or effectuate such refunds.
  • If an Exhibitor cancels, XetaBytes may retain Service Fees and is not obliged to pass any refund through to the Exhibitor.

3.3. No Reliance on Platform Representations. Users acknowledge they have read and accepted the Organiser’s listed Terms, including refund/cancellation rules, prior to booking.


4. Exceptional Assistance by XetaBytes (Discretionary)

4.1. Facilitation Only. On a case-by-case basis, XetaBytes may, in its sole and absolute discretion, assist Users to communicate with the Organiser, request refunds, or escalate disputes. Such assistance is purely facilitative and does not create any obligation, admission of liability, or guarantee of outcome by XetaBytes.

4.2. No Waiver. Any facilitation by XetaBytes does not waive the Company’s rights under these Terms nor create any precedent or obligation to provide similar assistance in other cases.


5. Chargebacks & Payment Disputes

5.1. Payment Provider Remedies. If you believe there has been an unauthorized payment or fraudulent charge, you should first contact XetaBytes at contact@xetabytes.com and your payment provider/bank to request guidance and, if necessary, initiate a chargeback.

5.2. Cooperation. You agree to cooperate with XetaBytes and payment processors in the investigation of any disputed transaction. XetaBytes may disclose transaction records and communications to payment processors, banks, or law enforcement in connection with a dispute, chargeback investigation, or fraud inquiry.

5.3. Chargeback Costs. If a chargeback is found to be fraudulent or unjustified and costs are incurred by XetaBytes or its payment processors, XetaBytes may recover such costs from the User whose chargeback was denied.


6. Force Majeure

6.1. Neither XetaBytes nor the Organiser shall be liable for refund or compensation for failure to perform obligations where such failure is caused by events beyond reasonable control (including acts of God, epidemics, government restrictions, civil unrest, natural disasters, terrorism, strikes, or infrastructure failures).

6.2. In the event of a Force Majeure affecting an Event, the Organiser’s cancellation/postponement policy will apply. XetaBytes may assist by providing contact details or platform notices but will not be responsible for refunds.


7. How to Request a Refund or Raise a Cancellation Dispute

7.1. Preferred Process. Exhibitors seeking refunds or raising disputes must first contact the Organiser using the contact details provided in the Event listing. The Organiser’s published policy governs outcomes.

7.2. Contact XetaBytes (Facilitation). If direct efforts with the Organiser do not resolve the issue, Exhibitors may request assistance from XetaBytes by emailing contact@xetabytes.com. Include:

  • Booking/Order ID
  • Event name and organiser details
  • Date of booking and payment receipt
  • Reason for request and any supporting documents (screenshots, communications, invoices)

7.3. Acknowledgement & Response. XetaBytes will acknowledge receipt of your request and may, at our discretion, forward the request to the Organiser, provide guidance, or escalate internally. XetaBytes is not required to compensate or refund you.

7.4. Time Limits. To the extent permitted by law, claims for refunds, adjustments, or disputes must be reported to XetaBytes within 30 days of the Event date or the date of the issue giving rise to the claim. Claims submitted after this period may be rejected.


8. Taxes, Fees & Deductions

8.1. All payments made pursuant to bookings may be subject to taxes, levies, GST, or other statutory charges as applicable. Users are responsible for any taxes arising from bookings or listings.

8.2. XetaBytes may withhold or deduct taxes or fees as required by law or agreed terms before transferring remaining funds to an Organiser.


9. Refund Timing & Method

9.1. Where a refund is agreed between Exhibitor and Organiser (or otherwise required), refund timing depends on the Organiser’s refund process and the third-party payment processor. XetaBytes does not control the payment processor’s timelines.

9.2. Refunds shall be made to the original payment method unless otherwise agreed. Any fees charged by banks or payment processors may be deducted from the refund amount.


10. No Class Actions; Exclusive Remedy

10.1. Unless prohibited by applicable law, all disputes arising from refunds, cancellations, or this Policy shall be governed by the dispute resolution and jurisdiction clauses in the Terms and Conditions of StallonRent.

10.2. Users agree that the remedies described in this Policy are the exclusive remedies available with respect to refunds and cancellations and waive any other claims against XetaBytes to the fullest extent permitted by law.


11. Consumer Law & Mandatory Protections

11.1. Where local mandatory consumer protection laws require refunds, returns or other remedies that cannot be waived, XetaBytes will comply with such legal obligations. This Policy is not intended to limit rights that cannot be waived under applicable law.


12. Amendments

12.1. XetaBytes reserves the right to modify, amend or replace this Policy at any time. Material changes will be posted on the Platform with an updated Effective Date. Your continued use of StallonRent after the posting of changes constitutes acceptance of the updated Policy.

14. Governing Law & Jurisdiction

This Policy is governed by the laws of India. Disputes arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts in Ghaziabad, India.
